1. Getting Started

When you first open Event Scheduler, you'll be greeted with the home screen. This is your command center for all scheduled events.

Initial Setup

On first launch, you'll be asked to grant a few important permissions:

💡 Tip:

Grant all permissions during setup to avoid issues later. You can always manage them from your device's Settings.

Navigation

The app has four main sections accessible from the bottom navigation bar:

2. Understanding Event Types

Event Scheduler supports three core event types, each designed for a different use case.

Choose the event type that fits your need

🔔 Reminder

A simple alert that fires a notification at your scheduled time. Perfect for quick one-off or recurring reminders like "Take medicine" or "Stand up and stretch."

📋 Task

Similar to a reminder, but designed for to-do items. Tasks appear in your list and can be marked as complete when done.

🎵 Media

Plays audio or video at the scheduled time. Supports local files (MP3, MP4, etc.), YouTube videos, and YouPlayer streams. Great for alarms with your favorite music or scheduled announcements.

3. Creating a Reminder or Task

Add reminder screen with title, date, time, and recurrence options

The reminder/task creation screen

  1. Tap the + button on the Home screen
  2. Select Reminder or Task from the event type picker
  3. Enter a title (e.g., "Team meeting") and optional description
  4. Set the date and time for when the alert should fire
  5. Choose a reminder sound — ringtone, audio file, or record your own voice
  6. Adjust the reminder volume (0–100%)
  7. Optionally choose a recurrence pattern (Daily, Weekly, Monthly, Yearly)
  8. Tap Save to schedule the event
💡 Tip:

When the reminder fires, you'll see a heads-up notification with Snooze (delays 10 min) and Dismiss buttons. Your selected tone plays at the configured volume. Tapping Dismiss or Snooze immediately stops the sound.

4. Reminder Sound & Voice Recording

Customize how your reminder sounds when it triggers. Choose from system tones, your own audio files, or record a voice memo directly in the app.

🔔 Selecting a Ringtone/Notification Tone

  1. In the reminder creation screen, find the Reminder Sound section
  2. Tap the Tone button
  3. The system ringtone picker opens — browse ringtones, notifications, and alarms
  4. Select your preferred tone and confirm

📁 Picking an Audio File

  1. Tap the File button in the Reminder Sound section
  2. Browse your device storage and select any audio file (MP3, M4A, WAV, etc.)
  3. The file will be used as your reminder sound

🎙️ Recording a Voice Memo

  1. Tap the Record button — the button turns red indicating recording has started
  2. Speak your reminder message into the microphone
  3. Tap Stop to finish recording
  4. The recorded voice is automatically set as the reminder tone
💡 Tip:

Recorded voices are stored privately within the app. When a reminder is deleted, its recorded voice file is automatically cleaned up.

🔊 Volume Control

Use the volume slider (0–100%) to set how loud the reminder tone plays when triggered. This adjusts the device's alarm stream volume at playback time.

Clearing a Selected Tone

Tap the ✕ button next to the tone name to clear your selection and revert to the default notification sound.

⚠️ Note:

Recording requires microphone permission. The app will prompt you to grant it when you tap Record for the first time.

5. Creating a Media Event

Add media event screen with file picker, volume slider, and schedule options

Media event creation with file selection and volume control

  1. Tap the + button and select Media Event
  2. Choose the media source: Local file, YouTube, or YouPlayer
  3. For local files: tap the file picker to select one or more audio/video files
  4. Adjust the volume slider (0–100%) for playback level
  5. Set the date and time for playback
  6. Configure recurrence if needed
  7. Tap Save

Supported Formats

⚠️ Note:

Make sure media files are not moved or deleted after scheduling. If a file is missing at playback time, the event will show an error notification.

6. Playback Options

Media events now include a dedicated Playback Options card with advanced controls for how your media plays back.

🔀 Shuffle Mode

When you have multiple files or videos queued, enable Shuffle to randomize the playback order. Each time the event triggers, the queue is played in a different random sequence.

  1. Create or edit a Media Event with multiple items in the queue
  2. Find the Playback Options card below the queue
  3. Toggle Shuffle on
  4. Save the event — playback order will be randomized each time it triggers

⏱️ Sleep Timer

Automatically stop playback after a set duration. Ideal for bedtime music or meditation sessions where you don't want media playing indefinitely.

  1. In the Playback Options card, find the Sleep Timer row
  2. Select a duration: 15m, 30m, 45m, 60m, or 90m
  3. Select Off to disable the timer
  4. When the timer expires, playback stops and the overlay closes automatically
💡 Tip:

Combine the sleep timer with a recurring daily event to create a bedtime routine that automatically stops after you fall asleep.

🎵 Audio-Only Mode (YouPlayer)

For YouPlayer media events, you can enable Audio-Only mode to play just the audio track without showing the video overlay. This saves battery and lets you use other apps while listening.

⚠️ Note:

Audio-Only mode is not available for the YouTube source type (which always uses the embedded video player). Use YouPlayer as the source for audio-only playback.

7. Using the YouTube Player

YouTube video playback with overlay controls

Event Scheduler includes a built-in player for YouTube content. You can schedule YouTube videos to play at any time — perfect for morning motivation, news briefings, or ambient music.

  1. Create a new Media Event
  2. Select YouTube or YouPlayer as the source
  3. Paste the YouTube video URL or playlist ID — the app auto-extracts the correct video/playlist ID from any YouTube URL format
  4. Video and playlist titles are fetched automatically and displayed alongside IDs for easy identification
  5. Queue multiple videos — they auto-advance during playback
  6. Set your schedule and volume level
  7. Save the event

YouTube vs YouPlayer

Playlist Support

Add full YouTube playlists by pasting the playlist URL or ID. All videos in the playlist are queued and played in sequence (or shuffled if shuffle mode is enabled).

⚠️ Note:

YouTube playback requires an active internet connection at the scheduled time. If offline, the event will trigger an error notification instead.

8. Setting Up Recurring Events

Any event type can be set to repeat automatically. This is ideal for daily alarms, weekly meetings, or monthly reminders.

Available Intervals

After each trigger, the event automatically reschedules for the next occurrence. You can disable or delete individual events without affecting future ones.

Auto-Recovery

If a recurring event is missed (device was off, battery optimization interfered), the app automatically recovers and reschedules it for the next valid occurrence. A daily background worker checks for any missed recurring events and brings them back on track.

💡 Tip:

Use the Disable toggle to pause recurring events during vacations without losing your schedule.

9. Managing Your Events

Each event card has a toggle switch:

10. Reminders Screen

First use screen showing the home page with no events

Reminder screen

The Reminders tab shows all reminders and tasks that have been triggered. This gives you a history of what's fired recently.

How It Works

Auto-Cleanup

Completed reminders are automatically deleted after 7 days. No manual cleanup needed.

💡 Tip:

Use the Reminders screen to quickly see what triggered recently and edit reminders that need rescheduling.

11. Filtering Events on Home Screen

The Home screen now includes radio button filters to quickly narrow down your event list by type.

Available Filters

The filter appears as a row of radio buttons at the top of the event list. Tap any option to instantly filter the display. "All" is selected by default when you open the app.

💡 Tip:

Use the Media filter to quickly manage all your music alarms and scheduled playback events without scrolling through reminders.

12. Disabled Events

Disabled events screen showing paused events

The Disabled tab shows all paused events

Disabled events are media events you've temporarily paused. They won't trigger at their scheduled time, but you can re-enable them anytime.

Auto-Cleanup

Events that remain disabled for more than 30 days are automatically deleted to keep your list clean. Re-enable events before then if you plan to use them again.

💡 Tip:

Media events automatically move here after playback completes. Re-enable them with a new time to play again.

13. Background Playback

Background playback with notification controls visible

Media continues playing in the background with notification controls

Media events play through a foreground service, meaning audio and video continue even when your screen is off or you're using other apps.

How It Works

⚠️ Important:

Battery optimization can kill background playback. Make sure to set the app to "Unrestricted" in your device's battery settings. See the Permissions section below for details.

14. Permissions & Troubleshooting

Required Permissions

Device-Specific Settings

Some manufacturers (Xiaomi, Vivo, POCO, Oppo, Realme, Samsung) have extra restrictions:

Events Not Firing?

  1. Check that the event is enabled (toggle is on)
  2. Verify the scheduled time hasn't already passed
  3. Disable battery optimization for Event Scheduler
  4. Make sure Do Not Disturb is off
  5. Grant all requested permissions
  6. On Android 12+: Go to Settings → Apps → Event Scheduler → Alarms & Reminders → Allow

After Device Restart

Event Scheduler automatically reschedules all active events after a reboot. If events aren't firing after restart:

💡 Tip:

Use the in-app Help & FAQ (Settings → Help) for device-specific permission guides. It auto-detects your device brand and shows relevant instructions.
